These policies exist to protect our participants, our staff, and the families who trust us with the people they love.
Read This First
All sales are final. No refunds.
For pay-as-you-go (Standard) participants
Payments are non-refundable once posted. If you cancel a scheduled day with at least 24-hour notice, the day is forfeited but does not generate a fee. Without 24-hour notice, the day is forfeited and a missed-attendance, transportation, and/or reserved-placement fee may apply.
For Monthly Advance (auto-pay) participants
Monthly advance payments are non-refundable. If a participant misses a day with at least 24-hour notice, the missed day is converted into a credit day that can be used within the same calendar month. Credits do not roll over month-to-month and are not redeemable for cash.
Why this policy: staff schedules, meal prep, transportation routes, and reserved placements are committed days in advance. Refunds would force the center to charge other families more — we'd rather hold a fair, transparent line for everyone.
Client & Family Policies
What we ask of every family
24-hour cancellation notice
Requested for cancellations, transportation changes, and schedule adjustments. Without notice, fees may apply and credit days are forfeited.
48-hour tour notice
Tours are Fridays 11AM–3PM and must be booked at least 48 hours in advance so we can prepare the right team to meet you.
Late pickup fees
Late pickup may result in fees of $25–$75+. Repeated late pickups may trigger transportation review, schedule modification, or program review.
Authorized pickup only
Only adults listed on the enrollment form may pick up a participant. ID may be requested every time, even from familiar faces.
Medication handling
We are a non-medical center. We do not administer medications. We may provide medication reminders for participants who self-administer. All medications must be in original labeled containers.
Photo & media consent
Photos may be used in program documentation, family updates, and marketing only with signed media consent on file. Consent can be revoked in writing at any time.
Code of conduct
Respectful behavior is expected from participants, family members, and visitors. Aggressive, threatening, or discriminatory conduct toward staff or other participants may result in dismissal from the program.
Health screening
Participants exhibiting fever, active vomiting, contagious illness, or open wounds may be asked to remain home until cleared. We protect every participant in the building.
Personal belongings
Please label all clothing and assistive devices. The center is not responsible for lost, stolen, or damaged personal items.
Staff Standards & Procedures
What every staff member must hold
Level II background screening
Florida Level II clearance is required before any direct-care role. Fingerprints are captured on site and submitted through FDLE.
CPR, First Aid & AED
Current certification required and maintained on file. Re-certification tracked by the program director.
Dementia & safety training
Mandatory training in dementia care, fall prevention, infection control, bloodborne pathogens, and elder abuse reporting.
Confidentiality
Participant information is confidential. Sharing photos, stories, or details outside the center is grounds for immediate dismissal.
Mandatory reporting
All staff are mandatory reporters of suspected elder abuse, neglect, or exploitation under Florida law.
No personal devices on the floor
Staff phones remain in lockers during program hours except for documented work use. Participant photos are taken only on center-approved devices.
No tolerance for impairment
Reporting to work under the influence of alcohol or illegal substances results in immediate termination.
Respectful, person-first language
We address every participant by the name they prefer. No infantilizing language, no nicknames without consent.
Continuing education
Annual continuing education hours are tracked in personnel files to maintain our internal training standard.
Staff Confidentiality, NDA & Non-Compete
Protecting families, participants, and the center.
Non-Disclosure Agreement (NDA)
All staff sign an NDA. Participant identities, family information, care details, financial information, and proprietary center materials are confidential during and after employment. Breach is grounds for termination and may carry legal consequences.
Non-Compete & Non-Solicitation
Staff agree not to solicit, divert, or accept private engagements from current participants or families during employment and for a defined period after separation. Staff may not start or join a competing adult day care or in-home care arrangement that targets our families.
Anti-Poaching of clients
Staff may not encourage participants or families to leave the center for any private arrangement. Doing so is grounds for immediate termination and may result in civil action under the signed agreement.
Liability protections
The NDA, non-compete, and confidentiality agreements protect families from losing trusted continuity of care and protect the center's investment in training, vetting, and goodwill. Full terms appear in the signed staff agreement.
Emergency Procedures
Plans we hope to never use — and rehearse anyway.
- ✓Documented fire & evacuation plan with quarterly drills
- ✓Severe weather & hurricane preparedness plan
- ✓Emergency contact called immediately for any medical event
- ✓911 activated for any cardiac, respiratory, or fall emergency
- ✓Incident reports filed within 24 hours and shared with family
Liability & Disclaimers
Limits of our program
Boca Raton Adult Day Care Center is a non-medical social adult day care. We do not provide skilled nursing, IV therapy, wound care, ventilator care, psychiatric stabilization, or hospital-level monitoring. Programs requiring separate licensing may operate independently under separate approvals.
